1. Who We Are

TachoLedger ("we", "us", "our") is a mobile application designed to help HGV, van and coach drivers track shifts, monitor tachograph data, and get compliance guidance. For privacy enquiries, contact us at admin@tacholedger.com.

2. Data We Collect

Account Information

• Email address (used for sign-in and account recovery)
• Display name (optional, chosen by you)

Shift & Compliance Data

• Shift start/end times, driving periods, breaks and rest periods you log
• Tachograph printout images or data you upload for analysis
• Compliance records and history generated from your inputs

Location Data

• Precise GPS location, recorded continuously — including in the background — while you have an active shift tracking session running
• Background tracking only happens during a session you have started yourself; a persistent notification is shown while it is active, and it stops when you end the shift
• Recorded routes, speeds and stop locations are stored as part of your shift history so you can review your routes and compliance
• No location is collected when you do not have a tracking session running

Usage & Technical Data

• App version, device type, operating system
• Crash reports and error logs (anonymous, used for debugging)

3. How We Use Your Data

• Compliance tracking — to calculate and display your driving hours, rest periods and any potential infringements
• AI analysis — to power Ward, your AI co-driver, with context from your uploaded tachograph data so responses are relevant to your actual shift
• App functionality — to authenticate you, sync your data across devices, and maintain your shift history
• Service improvement — aggregated, anonymised usage patterns to improve features

We do not use your data for advertising and we do not build advertising profiles.

4. Third-Party Services

TachoLedger uses trusted third-party services to deliver its features. Each has its own privacy policy:

Mapbox

Used for mapping and location features. When you use map functionality, location data is processed by Mapbox in accordance with their Privacy Policy.

RevenueCat

Used to manage in-app subscriptions and purchases. Purchase and subscription status are processed by RevenueCat. See their Privacy Policy.

Anthropic (Claude AI)

Ward, your AI co-driver, is powered by Anthropic's Claude. When you send a message to Ward or request tachograph analysis, your question, conversation history and relevant shift data are sent to Anthropic's API for processing. This can include personal data where it appears in your shift records or photos — for example your name and driver card number as printed on a tachograph printout, your vehicle registration, and shift dates and times. Anthropic processes this data in accordance with their Privacy Policy.

OpenAI

Tachograph printout and document scans are read using OpenAI's vision models, and some voice features use OpenAI text-to-speech. Images you submit for analysis — which may show your name, driver card number and vehicle registration — are processed by OpenAI in accordance with their Privacy Policy. We do not use your data to train models.

ElevenLabs

Ward's spoken voice is generated by ElevenLabs text-to-speech. The text of the answer being read aloud (which may reference your shift data) is sent to ElevenLabs and processed in accordance with their Privacy Policy.

Resend

Account emails (welcome, trial reminders and password resets) are delivered by Resend, which processes your email address and name in accordance with their Privacy Policy.

Cloud Infrastructure

App data is stored on secure cloud servers. Data is encrypted in transit (TLS) and at rest.

5. Data Retention

We retain your data for as long as your account is active. If you delete your account, your personal data and shift records are deleted within 30 days, except where we are required to retain records by law.

Uploaded tachograph images used for a one-time analysis session are not stored beyond the duration of that session.

6. Your Rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your account and associated data
• Export your shift data in a portable format
• Object to certain types of processing

To exercise any of these rights, email us at admin@tacholedger.com. We will respond within 30 days.

You can also delete your account directly from within the app at any time. This will permanently remove your account and all associated data.

7. Children's Privacy

TachoLedger is intended for professional drivers aged 18 and over. We do not knowingly collect data from children under 18. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the app or by email. The date at the top of this page reflects the most recent revision.
